Project Coordinator- SX3Y

The Role
The Project Coordinator for the SX3Y Mutilation Team will be tasked with various duties including but not limited to: writing purchase orders, administrative duties, generating weekly reports and scheduling projects. The person selected for this role will have a unique opportunity to help define the future of the team as it grows to serve all vehicle products produced across multiple factories. The nature of the work will be hands-on and fast-paced, with the opportunity to meaningfully improve the experience of Tesla’s products by reducing production quality and field issues related to cosmetic damage.
  • Consistently provide a high level of engagement to Tesla staff, vendors, business partners and guests
  • Collaborate closely with cross-functional stakeholders to create & sustain countermeasures
  • Meeting coordination and conference room reservations & set-up, as needed. Attend meetings, if necessary, for taking minutes and documenting other information.
  • Managing workload – prioritizing work and ensuring deadlines are met.
  • Work with suppliers & 3rd party contractors to receive/create quotes & submit purchase order.
  • Project Start-Up task tracking including contracts, proposal letters, work authorizations, creation and/or maintenance of project directories, cloud-based file sharing sites, opening project and sub-project numbers.
  • Early Project Phases tasks including but not limited to programming data worksheets, consultant contracts, consultant work authorizations, accurate project files documentation (hard copy and electronic), creation/maintenance of various spreadsheets, correspondence, maintenance of logs (contracts, work authorization,), meeting coordination and Microsoft Teams meeting set-up as required, preparation of meeting agendas and meeting notes, package preparations & shipping/mailing and org charts for the team.
  • Project Close-Out tasks include dead filing and punch list tracking.
  • Special duties and projects, as assigned or necessary including coverage of other coordinators.
  • Act as a business point of contact for users for day-to-day queries and adoption


  • Minimum of 3+ years of experience in a related role in a fast-paced environment Bachelor's Degree (Engineering degree preferred, but not required)
  • Ability to effectively prioritize with strong time management skills in a fast-paced environment.
  • Superior verbal and written communication skills.
  • Highly organized with a strong attention to detail.
  • High level of professionalism and strong sense of urgency.
  • Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).
  • Ability to work with minimal guidance; Proactive, motivated self-starter.
  • Proficiency with conferencing systems (Tesla is Microsoft Teams based).
  • Flexibility and ability to handle and manage change effectively and efficiently.
  • Preferred: Familiar with Six Sigma/Lean quality improvement strategies
