Spotify is seeking an Executive Assistant to support our VP, Head of US Studios. This role is a balancing act: managing the day-to-day tasks of any phenomenal EA — leading all aspects of schedules, preparing for meetings, and coordinating events — in addition to higher-order work like handling sensitive information and relationships, taking on special projects, and solving problems of all magnitude. This is a highly visible position supporting our Head of Studios with exposure to all aspects of the podcasting business at Spotify.

What You'll Do
  • Assist VP with scheduling and general calendar management. This includes coordinating with all four Spotify podcast studios, working cross-functionally with other business areas within Spotify, managing appointments with external partners and third parties, and organizing calendars to appropriately reflect priorities.
  • Coordinate meetings and lines of communication between various studios and teams within the Spotify Studios organization.
  • Perform comprehensive meeting management (such as: preparing materials, keeping notes in certain meetings, identifying the next steps, and communicating them out.)
  • Work to coordinate Studios team events, trainings, and celebrations (such as off-sites, workshops, celebrations, happy hours, etc.)
  • Facilitate team communication by organizing events such as All Hands meetings and presentations, “Ask Me Anything” sessions, and written team communications.
  • Schedule and handle business travel arrangements, including flight/hotel/car service bookings and compiling detailed itineraries. Where appropriate, help prepare for speaking engagements and conferences.
  • Manage all expense reporting for VP, and approve travel and business expenses for others on the team according to internal policies.
  • Manage other special projects and workflows as needed.
  • Serve as a representation of Spotify for the outside world. This means drafting correspondence, welcoming guests to our office, and generally representing Spotify thoughtfully.

What You Bring
  • Bachelor’s degree or equivalent experience
  • Several years of experience supporting C-level executives (bonus if that’s been in a creative or content-focused environment)
  • Ability to keep track of many tasks at once without letting anything fall through the cracks
  • Flexibility and adept at working and coordinating with others
  • Capacity for discretion and sensitivity when handling confidential materials
  • Outstanding communication, writing, time management, and interpersonal skills
  • Ability to give, receive, and implement feedback
  • Pride in your work and ownership over projects that you lead
  • High proficiency in the Google Suite (especially Google Calendar, Slides, and Docs) as well as the ability to stay informed about new tools and technologiesExperience in Concur T&E a plus
  • An enthusiasm for podcasts is a MAJOR plus!
