The Windows & Devices (W+D) Manufacturing & Strategic Sourcing (M&S) team is looking for a highly skilled, seasoned, and energetic Executive Business Administrator to join our leadership team, reporting to the M&S Corporate Vice President (CVP).

At its core, this position provides day-to-day executive support for the M&S CVP, partners with the Chief of Staff to design and deliver the rhythm of business (ROB), lead a team of admins to support cross-organization goals, and models the organization’s culture.
This position requires excellent communication, organizational and interpersonal skills, and the ability to work across multiple levels within Microsoft and with external partners. The successful candidate must thrive in a fast-paced team environment, prioritizing your own work, building and maintaining effective working relationships, accommodating diverse work styles, and being fair and unbiased. Strong problem-solving skills, attention to detail, and the ability to maintain strict confidentiality are essential to the role. Responsibilities
Proactively manage a complex executive calendar in a fast-paced environment with shifting priorities, ensuring accurate scheduling and time prioritization. Work closely with the chief of staff on ROB planning and execution, aligning with executive calendar and ensuring tight coordination with executive and team commitments. Provide leadership, mentorship, and coaching to the M&S administrative team. Oversee organization wide headcount, position, and requisition management for 500-person global organization. Includes managing to funded headcount, headcount planning, and owning headcount processes, logistics, tracking and reporting. Manage executive’s end-to-end domestic and international travel scheduling including proactive logistics and itineraries. Schedule and manage logistics for leadership team staff meetings, All-Hands, events and off-sites, including venue selection and meeting details. Participate as a member of the leadership team, contributing to setting business priorities, providing perspective on the team, morale, space, and resourcing. Own space allocation for the organization’s Redmond based team. Manage and track space allocation. Plan and coordinate office moves in coordination with administrative team. Participate in the W+D division level executive admin leadership team, supporting cross-organization initiatives. Maintain distribution/security group aliases. Assure expense processing and approval in a compliant and timely manner. Ensure compliance of Microsoft policies and procedures. Qualifications
Demonstrated experience in representing executive and executive team in an administrative role. Excellent written, oral, and interpersonal communications. Six or more years scheduling experience and able to manage multiple calendars. Experience in booking global travel and managing travel across multiple geographies preferred. Solid project-management and problem-solving skills. Excellent organizational and analytical skills. Able to make independent decisions, deal with ambiguity, and juggle multiple projects at once. Able to maintain confidentiality of sensitive material with tact and professionalism. Able to work successfully in a team environment, building effective relationships inside and outside group with varying levels of partners, accommodating diverse work styles and perspectives. Knowledge of the Corporate organization, departmental business practices and tools, and able to navigate. Knowledge of internal Microsoft tools such as HeadTrax, HRInsights Catalog, MSExpense2.0, MSTravel, iCIMS, and Employee Central Proficiency in Outlook, Word, Excel, PowerPoint, and Visio. Experience managing administrative professionals, external partners, contractors, and vendors preferred. BA/BS degree is desirable.
